Accountant

Department: Finance & Accounts
Duty Station: Mpigi Town, Mpigi District.

1. KEY RESPONSIBILITIES AND DUTIES

1.1 Financial Accounting and Bookkeeping

  • Maintain accurate and up to date accounting records.
  • Track all sales, purchases, expenses, receipts, payments, deposits and other financial transactions.
  • Maintain the general ledger and supporting accounting schedules.
  • Ensure all financial transactions are supported by appropriate documentation and authorization.
  • Properly file and maintain invoices, receipts, payment vouchers, LPOs, delivery notes and other financial documents.
  • Provide any other financial reports required by management.

1.2 Branch and Agro Input Shop Accounting

  • Monitor the financial transactions of all Agro and More agro input shops.
  • Ensure daily sales and cash collections from each branch are properly recorded and reconciled.
  • Reconcile branch sales against cash, mobile money, bank deposits and other payment channels.
  • Review branch expenses and ensure they are properly authorized and documented.

1.3 Sales, Receivables and Customer Accounts

  • Maintain accurate records of customer accounts and outstanding balances.
  • Prepare and issue invoices and receipts as required.
  • Monitor customer credit and ensure credit sales are properly authorized.
  • Follow up on outstanding customer balances in collaboration with the relevant departments.

1.4 Purchases, Suppliers and Accounts Payable

  • Record all purchases and supplier invoices accurately.
  • Maintain up to date supplier accounts and statements.
  • Verify supplier invoices against LPOs, delivery notes and goods received documentation.

1.5 Inventory and Stock Accounting

  • Work closely with the Inventory, Operations teams and Sales agronomists to ensure accurate stock records.
  • Reconcile stock purchases, sales, transfers, returns and adjustments with accounting records.
  • Review stock valuation and identify significant discrepancies.
  • Participate in periodic stock counts and stock reconciliations.
  • Ensure stock related financial transactions are properly recorded.

1.6 Banking and Cash Management

  • Monitor daily bank balances and cash positions.
  • Prepare and maintain regular bank reconciliations.

1.7 Tax and Statutory Compliance

  • Assist in preparing and filing applicable tax returns and statutory reports.
  • Maintain accurate tax records and supporting documentation.

2. QUALIFICATIONS AND EXPERIENCE

Minimum Academic Qualifications

  • Bachelor’s Degree in Accounting, Finance or Commerce.

Professional Experience

  • Experience in an agro input, retail, distribution, or related business environment is highly desirable.
  • Experience with inventory and stock accounting is preferred.
  • Experience using accounting software such as Odoo and with LPOs, supplier credit, receivables and institutional customers is an added advantage.
